What to Include on a Consulting Invoice

Your Business Information

Client Information

Company name, billing contact, billing address. For larger organizations, include a PO number if one was provided. Missing PO numbers can delay payment in corporate environments.

Invoice Number and Date

Unique invoice number and issue date. If invoicing monthly for a retainer, consider dating invoices consistently (first of the month, last day of service period).

Engagement Reference

Reference the engagement type:

  • Project name or description
  • Contract or SOW reference number
  • Retainer period (e.g., "Monthly Strategy Retainer — December 2024")

This connects the invoice to the agreed scope.

Service Description

Here's where consulting invoices often fail. "Consulting services — $5,000" tells the client nothing. Instead:

For hourly billing:

  • Strategy session with leadership team — 3 hours @ $300/hr — $900
  • Market analysis and report preparation — 8 hours @ $300/hr — $2,400
  • Implementation planning meetings — 4 hours @ $300/hr — $1,200

For project billing:

  • Phase 1: Discovery and assessment — $3,500

For retainers:
